The problem

When a deal closed, someone created the invoice in one system, the project in another and updated the CRM to reflect both.

When that person was busy, work started before anyone had invoiced it.

What was in the way

What we designed

We decided explicitly which system owns each field, then designed the connecting layer around that decision.

We defined what should happen on conflicts, duplicates and failures before building anything.

What we built

  • A closed-won trigger that creates the invoice and the project.
  • Deduplication so one client exists once.
  • Alerting when a connection fails or a record needs human judgment.
